Rental Rules.

How first-time rental, booking, pickup and return work at Comuna Rental. By confirming your reservation, you accept all terms below.

First Rental

Renting with us for the first time? Start by filling out the new client form — it's the first step before any booking.

We'll ask you to provide a valid ID, tax number, proof of address, billing details, and a deposit or other guarantee if required — see the full list below.

In full, we'll need:

  • A valid Cartão de Cidadão, passport, or other government-issued ID
  • Tax number (NIF or VAT)
  • Proof of address
  • Company or individual billing details
  • A deposit or other guarantee, if required

For repeat orders, we may only need a valid ID or an update to previously submitted details.

How to Book

The easiest way to book equipment is through our equipment catalog. Add the gear you need to the cart, select your rental dates, and submit your request.

Once we receive your request, our team checks availability and gets back to you. Submitting a request through the website does not automatically confirm your booking — please wait for confirmation from our team.

You can also send a request by email or phone. Your request should include:

  • Fill out the client form, if this is your first rental with us
  • Company name, if applicable
  • Full name of the person responsible for the rental
  • Equipment list and quantities needed
  • Rental dates
  • Phone number and email address

Equipment Pickup

Equipment is picked up at our location in Lisbon:

When placing your order, make sure to specify who will be picking up the equipment.

The rental agreement is issued to the person actually collecting the equipment. The invoice can still be issued separately to a company or individual.

At pickup you'll need to:

  • Bring a passport, Cartão de Cidadão, or other valid ID
  • Arrive a little early to check the equipment and sign paperwork without rushing
  • Test that everything works
  • Check all accessories — batteries, cables, chargers, adapters, and cases
  • Flag any issues to our team before signing

By signing the rental agreement and pickup form, you confirm that you received the listed equipment in the agreed condition and configuration.

Our team checks and prepares every order carefully, but you're also responsible for inspecting the equipment and its contents at pickup.

If you haven't used a particular piece of equipment before, we recommend reviewing the manual or tutorials in advance. We can walk you through the basics at pickup, but we can't always provide full training.

During the Rental

You're responsible for the equipment from pickup until return.

Handle it with care, store it safely, and protect it from theft, loss, water, rain, sand, impact, and anything else that could cause damage.

Don't attempt to disassemble or repair equipment yourself without checking with Comuna Rental first.

Equipment Return

Return equipment on the agreed date and time. If you think you'll be late, let us know as early as possible.

Returns more than 30 minutes late without prior notice may be charged for a full additional 24-hour rental period.

At return, our team checks:

  • All equipment and accessories are present
  • Overall condition
  • Basic functionality
  • Any damage or missing parts

If the initial check is clear, the equipment is accepted.

Some technical faults or hidden damage aren't visible right away — in that case, equipment may go through further diagnostics. If it's confirmed that a fault or damage occurred during your rental, you'll be charged for diagnostics, repair, or replacement.

If any item or accessory is lost, you can either:

  • Purchase the same item or an equivalent approved by Comuna Rental
  • Or pay the invoice we issue for its replacement

Any self-sourced replacement must be approved by our team in advance, to make sure the model, condition, and completeness match the lost item.

Memory Cards & Data

Before returning equipment, you're responsible for transferring and backing up all your files.

After return, memory cards, SSDs, and other storage may be wiped or reformatted without notice.

Comuna Rental is not responsible for lost, damaged, or deleted data.

Booking Cancellation

Cancel more than 24 hours before the agreed pickup time — 50% of the cancelled day's rental fee is retained.

Cancel less than 24 hours before pickup, on pickup day, or after equipment has been prepared — 100% of the cancelled day's rental fee is retained.

Not picking up equipment on the agreed date and time counts as a same-day cancellation.
